UK Construction · Compliance, managed

Stop chasing your subs for paperwork.

ContractorVault is a managed compliance service for UK main contractors. We chase the insurance certs, CSCS cards, RAMS, and SSIP renewals across your supply chain — so your Contracts Manager gets two days a week back.

ContractorVault is a new managed service. We're hand-picking our first 10 clients to get the system right.

The unspoken weekly grind

If any of this sounds familiar, you’re not alone.

The tier-1 wants a compliance pack tomorrow.

Your contracts manager spends two days pulling it together from spreadsheets, shared drives, and WhatsApp threads.

A sub's insurance lapses and nobody notices.

Until the audit. Until something goes wrong on site. Until the £2,500/day uninsured-worker exposure becomes a problem.

CHAS, Constructionline, SafeContractor — every renewal cycle.

Different portals, different deadlines, different people chasing different documents. Compliance becomes another tab in a project spreadsheet that always loses priority.

The job's mobilising in two weeks.

Sixty subs to onboard, certs to verify, RAMS to chase, packs to assemble. Every project starts with the same scramble.

We exist so you stop doing all of that.

What we do

A managed service. Not another piece of software for your team to learn.

A real human (us) chases the docs. You and your team get on with building.

We chase the documents.

Every certificate, insurance policy, SSIP accreditation, RAMS pack, CIS verification — across your full supply chain. We do the chasing. Your Contracts Manager doesn’t.

We flag the gaps before they cost you.

30, 14, and 7-day expiry alerts on every document. Plus a monthly summary of who’s slipping, who needs renewing, and which subs are tender-blocking risks.

We assemble the packs when you need them.

Tier-1 client wants a compliance pack? Audit incoming? Project mobilising? You ask. We deliver — usually within 48 hours.

Hi James — your Public Liability lapses Friday. Forwarding the renewal quote from Aviva. A signed certificate copy by EOD keeps you on the Riverside framework.

[ FOUNDER PHOTO — INCOMING ]

Hi — I’m Vaughn Botha. I spent 12 years in the UK and South African construction industry: eight years selling commercial coatings to contractors at Prominent Paints, then running sales for an industrial painting firm in Durban, then founding Paintspert — a coatings QA consultancy supporting painting projects across multiple regions.

Across all of those, the same thing kept coming up: contracts managers, project engineers, and ops directors drowning in supply-chain compliance paperwork. Spreadsheets that didn’t talk to each other. Subs who hadn’t sent their renewed PLI. Tier-1s asking for a compliance pack with 24 hours’ notice.

ContractorVault is the system I wish my own contractor clients had. A real human chasing the docs in the background. Your team free to actually build things.

If that sounds useful, start with a free gap report and let’s see what’s slipping through your supply chain right now.

How it works

Start with a free 1-page gap report.

No pitch. No obligation. We map your supply-chain compliance gaps and you decide what to do next.

01

You send us your sub list

Spreadsheet, Google Drive folder, screenshot of your current system, or a list pasted into an email. Whatever you’ve got. We don’t need it tidy.

02

We map every gap (2 working days)

We check each sub against UK construction compliance requirements: insurance currency, CSCS, SSIP accreditation, RAMS coverage, CIS verification. Every miss, every lapse, every renewal due in the next 90 days.

03

You get a 1-page report

One PDF. Plain English. Every gap on one side. Recommended fixes on the other. We’ll offer to handle them if you want — but we won’t push.

We won’t pass your data to anyone. Ever. We won’t add you to a marketing list. The audit is a real audit, not a sales call dressed up.

FAQ

Questions we get asked.

We already have a system / use a spreadsheet. Why would we change?
We don’t replace your system. We replace the person on your team who’s currently spending one to two days a week chasing subs. If your spreadsheet works, we’ll work with it. We just stop you having to update it.
How is this different from CHAS / Constructionline / SafeContractor?
Those are accreditation schemes that your subcontractors join. We’re a service that verifies and tracks whether your subs hold those accreditations — and chases them when they expire. We work with those schemes, not against them.
How is this different from software like Procore, Asite, or BuildPass?
Those are software platforms. They give your team another dashboard to log into. We give you the hours back — a real person doing the chasing, no new login required for your team.
What if a sub refuses to send updated documents?
We escalate it back to you with a one-line note: “Sub X hasn’t responded after three chases. Recommend pausing payments until resolved.” You decide whether to push or replace them. We don’t make commercial calls on your behalf.
How long does setup take?
Usually 7–10 working days from signed agreement to full register live. Faster if your existing data is in good shape.
Where is your team based?
Founding team is based in South Africa, operating in UK working hours. All clients to date are UK-based. UK contractors generally find this works well — the time zone overlap is full and the cost structure lets us do this as a managed service rather than a £4k/month software platform.
Who owns the data?
You do. Always. We process it on your behalf under a standard data processing agreement. If you cancel, we hand back everything we hold and delete our copies within 30 days.
Can we cancel?
Yes. 30 days’ notice. No long lock-ins outside of the 12-month founding-member rate (and even there, the rate is the only thing locked — you can leave any time).
